Privacy policy

Swish Planner (“we”, “us”) is a basketball coaching app run by Ceers 2112 Ltd (company number 16512807, registered office 14 Charles Almond Close, Great Oldbury, Stonehouse, GL10 3FH). This policy explains what personal data we collect when you use swishplanner.com, why, and the choices you have. We are the data controller for this data under UK GDPR and the Data Protection Act 2018. Contact us about privacy at privacy@swishplanner.com.

What we collect

• Account details: your name, email address and a securely hashed password (we never store your password itself).
• Your content: drills, diagrams, practice sessions, teams, clubs, and any notes you write.
• Community activity: drills you share, save, import or report.
• Technical data: your IP address and browser details in our server logs, and your time zone so “today” matches your day.
• Messages: anything you send us through the contact form or by email.
• Billing: if you subscribe, Stripe collects your card and billing address. We only keep your plan, its status and Stripe's customer reference — never your card details.

Swish Planner is for coaches. Please don't enter sensitive information about players — especially children — in drills, notes or sessions. First names are fine where you need them.

Why we use it

• To provide the service — your library, sessions, teams and clubs (contract).
• To send account emails such as email confirmation and password resets (contract).
• To keep the service secure and prevent abuse, including moderating shared drills (legitimate interests).
• To answer your messages (legitimate interests).
• To understand how the site is used and improve it, with Google Analytics — only if you accept (consent).
• To take payments, keep billing records and charge the right VAT (contract and legal obligation).

We don't sell your data or use advertising. The only third-party tracking is Google Analytics, and only if you accept it.

Who can see your content

Drills are private unless you choose to share them with your club or the community. Team sessions are visible to the coaches on that team, and club admins can see the sessions of their club's teams. Drills shared with the community show your name as the author.

Service providers

• Hetzner Online GmbH (Germany) hosts the app and database.
• Resend sends our emails (EU region); it may process data in the US under appropriate safeguards.
• IONOS handles our domain and inbound email.
• Google Analytics (Google Ireland) measures how the site is used — pages visited, rough location, device — only if you accept analytics cookies. IP addresses are anonymised and the data isn't used for advertising.
• Stripe processes payments for paid plans (and may process data in the US under appropriate safeguards).
• GitHub stores our encrypted database backups (encrypted before upload; only we hold the key).

How long we keep it

We keep your account and content while your account is open. You can delete your account from the Account page — that removes your personal data straight away — or ask us to. Billing records are kept for as long as tax law requires. Backups roll off within three months.

Your rights

You can ask to access, correct, export or delete your data, or object to how we use it, by emailing privacy@swishplanner.com. If you're unhappy with our response you can complain to the Information Commissioner's Office (ico.org.uk).
